Who we are

SwiftSCIENCE is a brand of Wright Wold Scientific LLC, a Delaware limited liability company ("SwiftSCIENCE", "we", "us"). This policy covers this website, the SwiftSCIENCE Research Platform, SwiftSENSE and SwiftSENSE Edge, SwifTAG orders and our research services. Questions about it go to info@swiftscience.com.

What we collect

On this website

  • The contact form: your name, work email, organization, role, what it is about and your message, the page you sent it from, the page you first arrived on and any campaign tags in the address (such as utm_source), so we know which post or page brought you.
  • The chat: your name and email, your messages and our replies, and the pages you read during the visit, so whoever answers knows what you were looking at.
  • Our short links: when you follow one of our links in a post (www.swiftscience.com/go/…), we count the click: when it happened, the site it came from and whether it looked automated.
  • To prevent abuse: with a form, a chat message or a short-link click, a one-way scrambled form of your network address (never the address itself), and with a form or chat, your browser's description (its user-agent).
  • In your browser: this website sets no cookies and runs no advertising, analytics or other third-party tracking scripts. For the length of your visit, your browser's session storage remembers the page you arrived on, any campaign tags and the last 30 pages you opened; closing the tab clears them, and they leave your browser only with a form or chat you send. If you start a chat, your browser's local storage keeps a random id and the chat's key so the conversation is still there when you come back; clearing your browser's site data removes them.
  • Server logs: our hosting provider records the requests made to this website, such as the network address and the page asked for, for a short time, to run and secure it.

In the Research Platform and our other products

  • Your account: your name, work email, organization, role and the permissions your organization gives you, and how you sign in.
  • What your organization records: studies, animals, cages, measurements, notes, files, images and video, and the record of every change (who, when and what), which the platform keeps so that research data can be audited.
  • SwiftSENSE: footage and activity data from your cameras. With SwiftSENSE Edge, footage is recorded and kept on a computer at your site and only reaches us if you connect it to our hosted services or choose to share it with us.
  • Orders and billing: billing and shipping contacts, order details and invoices. Card payments are handled by Stripe; we never receive your full card number.
  • Support and meetings: what you send us when you ask for help, and the details you give when you book a call with us.
  • Service records: sign-in times, the device and browser used, and error logs, kept to run and secure the service.

How we use it

  • To provide, secure and support our products and services, and to answer you.
  • To take payments, ship orders and keep the business records the law requires.
  • To send the emails our services depend on, such as invitations, sign-in links, receipts and the alerts you or your organization choose.
  • To send product news, only if you asked for it; every news email has a one-click unsubscribe.
  • To understand, in aggregate, how our products are used, so we can improve them.
  • To meet legal obligations and to protect our customers, our users and SwiftSCIENCE.

What we never do

  • We do not sell or rent personal information, and we do not share it for advertising.
  • We do not sell your organization's data or footage.
  • We do not show your organization's data or footage in a case study or any public material without its written permission, and we do not use its research records to train models without it.

Footage and our models

Footage from your cameras, and the activity data made from it, that reach our hosted services may be used to train and improve our models and build our research datasets, separated from your organization's name, studies and records, unless your organization opts out by emailing info@swiftscience.com. Footage already used in a trained model stays in that model, and footage used this way may be kept after your account closes.

Footage that stays on a SwiftSENSE Edge computer at your site is never collected, unless your organization chooses to share footage, labels or feedback with us to help improve our models and products. Footage sent to us for research services is used as the scope agreed with you says. The footage is of animals in their cages; when people appear in it, for example during a cage change, we do not use it to identify them.

AI features

Some features, such as drafting a study design or a data-entry workflow from a description, use AI. They are optional, they run on our servers and never in your browser, and a person confirms every change before it is saved. When you use one, the text and data that feature needs are sent to our AI provider, OpenAI, to produce the result. Under OpenAI's API terms, data sent through its API is not used to train its models.

Who we share it with

We share information only with the service providers that run parts of our services for us, under contracts that limit their use of it to that work:

  • Vercel (hosting this website and the platform)
  • Supabase (the platform's database, sign-in and file storage)
  • Stripe (payments and invoices)
  • OpenAI (AI features, when you use them)
  • Google Cloud (SwiftSENSE footage in our hosted services, and our earlier census app)
  • balena (managing and updating SwiftSENSE devices)
  • HubSpot and Zoom (our contact records, meeting scheduling and video calls)
  • Our email delivery provider (sending the platform's emails)

We may also share information when the law requires it, to protect rights and safety, or with a successor if SwiftSCIENCE is merged or sold, under this policy.

Where it is kept

Our hosted services store data in the United States. SwiftSENSE Edge keeps its footage on your own computers, wherever your site is.

How long we keep it

  • Your organization's data: for as long as its account is open. After the account closes, its data stays available to export for 90 days and is then deleted; backups age out within a further 35 days. Footage used for our models and datasets, unless your organization opted out, is kept, separated from your organization's name.
  • Contact form messages and chats: until you ask us to delete them, or 3 years after our last contact with you.
  • Short-link clicks and the records that prevent abuse: up to 13 months.
  • Billing and order records: as long as tax and accounting law requires, usually 7 years.
  • Service records: up to 12 months.

How we protect it

Connections to our services are encrypted, and our database provider encrypts stored data. Within the platform, people see only what their organization's roles allow, and every change to research data is recorded. Our staff reach customer data only when it is needed to run the service, to support you, or to meet a legal duty.

Your choices and rights

You can ask to see, correct, export or delete the personal information we hold about you, or object to how we use it, by emailing info@swiftscience.com. We answer within 30 days. Depending on where you live, laws such as the GDPR, the UK GDPR and California's privacy law give you these rights, and the right to complain to your data protection authority.

In the Research Platform, your organization controls its own data and its users' accounts, and we process that data on its behalf. If you use the platform through your organization, we may pass your request to your organization's administrators so they can act on it.

Children

Our products are made for research and animal care professionals. They are not meant for anyone under 16, and we do not knowingly collect their information.

Changes to this policy

We will post any change here with a new date. If a change matters to how we use your organization's data, we will also email your organization's account owners before it takes effect.
